The Gloucestershire NHS Procurement Shared Service is a department, hosted by the Gloucestershire Hospitals NHS Foundation Trust, that was set up to provide Procurement services to three organisations; Gloucestershire Hospitals NHS Foundation Trust, 2gether NHS Foundation Trust and Gloucestershire Care Service NHS Trust. The Procurement Shared Service provides advice and guidance, contract and supply chain services.

“Introducing the eMarketplace has improved procurement efficiencies and reduced transactional costs when compared to traditional purchasing routes. The output is clean, validated and auditable PO data that suppliers can rely on.”

Challenges

  • Complying with the Department of Health mandate.
  • Providing a unified catalogue across 3 Trusts.
  • Minimising catalogue maintenance.
  • Increasing purchasing efficiencies.
  • Ensuring all spend is appropriately controlled.
  • Increasing compliance against preferred Supplier contracts.
  • Ensuring all product and pricing data is up-to-date and accurate.

Solution

Over 2,500 users have access to the Science Warehouse eCatalogue which contains authorised contracted products and pricing across all key Suppliers. Seamlessly integrated with the two finance systems in operation across the 3 Gloucestershire NHS Trusts, the intuitive interface makes ordering of clinical supplies and routine commodities a much more straightforward process.

By transferring to an externally managed catalogue, the Procurement Service can now refocus staff time onto value creating activities.

The Procurement Service is working in partnership with Science Warehouse to increase the number of Suppliers benefitting from traceable electronic transmission of fully validated purchase orders. The system has been rapidly assimilated within the Trusts and eMarketplace usage continues to increase month-on-month.

Almost a year after system implementation, over 32,000 orders have been raised via the eMarketplace, generating efficiencies in procurement worth an estimated £460,000.

“Science Warehouse’s managed service will minimise our internal efforts and deliver clean and reliable data. Suppliers will also benefit from improved accuracy on purchase orders transacted electronically through an integrated system.”
